Thanks to the EFL Foundation covering the labor costs, the inventory of the archive could be started even before the actual transfer of the material to the depots. Given the complexity of the archive, the inventory was not completed immediately at that time. Over the past two years, several staff members have further opened up parts of the archive and performed the necessary editorial work. It would be going too far to describe everyone's part in detail here, but broadly speaking the proportions are as follows:The first preliminary inventory of the foundation archive, prior to its transport to Rotterdam, was carried out by May des Tombe.She also separated out the records susceptible to destruction and repackaged the records to be kept and the designs submitted.In Rotterdam, Wink Witholt identified and described the submissions for the Arnhem-Nijmegen project. Frank van der Most then arranged all the drawings found and described the audiovisual material. The coordination of the activities and the final editing of the inventory was in the hands of Frans Hoving.Arrangement of the archive and the acquired designsThe foundation archive consisted of a large number of binders, in which documents were mainly stored subject by subject. In addition, there was a chronological series of correspondence. This arrangement was left as it was, with the understanding that the archive was considerably cleaned out. All duplicates have already been destroyed; financial documents of minor importance are also destroyed after the legally prescribed retention periods have expired. A justification for the destruction is included in the appendix.The designs, where still present, were at the time numbered semi-piece by piece. Although each drawing was usually assigned a unique number, in a number of cases each drawing was assigned the same number. These numbers consisted of a combination of a roman and an arabic numeral, the roman numeral indicating to which design phase or to which activity an entry belonged. The numbers I, II and III indicated the designs for New Netherland on a national, regional and local scale. The designs produced in the sketch week, which concerned the Arnhem-Nijmegen region, were marked with an IV. Subsequently, serial numbers starting with 001 were assigned to the various drawings and models. In a number of cases, maps and posters were also included in the numbering.During the inventory, for the sake of consistency, it was decided not to maintain this numbering. The new numbering is project by project, all drawings and objects related to a particular design have been given the same number. In the appendices you will find concordances showing the relationship between old and new numbering and vice versa.
